Member Activation & Community Coordinator

  • Role Type: Full Time, 40 hours per week
  • Location: Holmes Chapel, Cheshire. Hybrid, minimum 3 days/week in office, Tues to Thurs.

Dr Tim Pearce is a global education platform for medical professionals working in aesthetics and wellness. We help health practitioners around the world grow their dream clinics, a path that takes them from starting, to confident, to clinically excellent, to commercially successful, through world-class training and mentorship in our ProFinity ecosystem.

We are also building our own wellness clinic, right next door to our studio, and a professional community where healthcare practitioners learn, connect, develop and grow their businesses.

The Role

We are looking for a creative, data-comfortable Member Activation & Community Coordinator with two connected jobs: getting brand-new members properly activated in their first seven days, and keeping the wider ProFinity community alive day to day.

Your primary outcome is to increase member lifetime value. You do that by improving 7-day activation, 90-day retention, and the flow of qualified upsell and referral opportunities out of the ProFinity membership.

You will use activation data to find exactly where new members are getting stuck, then design and run the content, prompts and communications that get them moving again. You will apply the same skills to the existing membership: bringing quiet members back, filling the room for the sessions that sell, and spotting the members who are ready for more. You will also be confident making calls to members to welcome them to ProFinity and build rapport early.

The five numbers below are what the job is judged on.

What Success Looks Like

Baselines for the first two numbers are agreed in your first month, once activation reporting is running. The targets are the movement we expect from that baseline.

Alongside those numbers, within your first six months you will have built:

  • A proven sequence of activation nudges and content for every checkpoint, with the test results behind it.
  • A weekly cohort review that names the stuck members, the at-risk members and the power users, and triggers the right response to each.
  • A community content and engagement calendar for existing members, tied to usage, attendance and progression.
  • A working advocate and medical-influencer programme feeding case studies, proof and referrals.

Key Responsibilities

7-Day Activation

  • Conduct welcome calls with new members at the start of the 7 day activation sequence.
  • Monitor daily activation data across all six checkpoints (see table above) and identify where members are getting stuck.
  • Work with Customer Success and Data to validate which first-week behaviours most strongly predict 6 to 12 month retention and ascension, and update the six checkpoints accordingly.
  • Design and run targeted content, prompts, emails, in-app messages and reminder sequences to move stalled members through each checkpoint.
  • Own the messaging and creative for activation nudges: download the app, complete your profile, book onboarding, start your first course, try Technique Tuesday, post in the community.
  • Run a weekly cohort review. Identify stuck members, at-risk members and power users, and trigger the right intervention for each.
  • Test and refine activation content over time based on what actually gets members moving.
  • Hand off cleanly to the Member Success Coordinator once a member is fully activated, or on day 8, whichever comes first. Cohort-level ownership of activation and 90-day retention stays with you.

Retention & Re-engagement

  • Run re-engagement campaigns for low-activity members using in-app messages, email, DMs and calls, and track the rescue rate.
  • Follow each joining cohort through to 90 days and report where it drops.
  • Log why members go quiet and feed that back to product, education and marketing.

Community Building & Engagement

  • Create and deliver a regular community content and engagement calendar for the existing membership. Every item on it has a job: more usage, more attendance, or more progression.
  • Start conversations that encourage members to participate, share experiences and support one another on the app.
  • Drive attendance to Technique Tuesday, onboarding, coaching sessions, webinars and revenue events, and report the conversion from attendee to buyer.
  • Promote the courses, resources and membership benefits members already have and are not using.
  • Coordinate our Skinfluencers community champions and keep peer-led activity consistent.
  • Identify high-engagement members and route them to the right next step: advocate, contributor, speaker, case study, referral partner, or a conversation with sales.

Revenue Collaboration

  • Work with Marketing and Sales to turn engaged members into case studies and proof assets, qualified leads for Mastery and the higher-tier programmes, and referral partners. Warm-hand qualified members to sales with the intro message, the context and the booking link.
  • Design small in-app referral pushes such as challenges and member spotlights, and track the leads they source.
  • Consistently source ten qualified opportunities a month for higher-tier programmes from the existing member base.

Community Marketing

  • Create posts, campaigns and communications for the ProFinity audience that increase usage, attendance and progression.
  • Support internal campaigns around webinars, launches, events and membership initiatives.
  • Turn live sessions, member conversations and activities into content that pulls members back into the app.
  • Collect testimonials, case studies and social proof, ensuring appropriate consent is obtained.
  • Work directly with the Marketing team to provide authentic member stories and content for external campaigns.
  • Shoot and edit simple video and photography where it serves one of the five numbers.

Data & Reporting

  • Own a simple weekly dashboard covering 7-day activation, 30 and 90 day retention by cohort, event attendance, and upsell and referral leads.
  • Present it in the Customer Success and Growth meeting with the experiments you propose next.
  • Run at least one activation or engagement experiment a week, and write up whatever wins as a reusable template.

Your First 90 Days

Weeks 1 to 4: Welcome calls from day one. Agree the activation baseline with Customer Success and Data, and get activation reporting running reliably.

Weeks 5 to 8: First full nudge sequence live across all six checkpoints. Weekly cohort review running. First re-engagement campaign out.

Weeks 9 to 12: Dashboard presented weekly with proposed experiments. First qualified upsell opportunities passed to sales. First referral push live.

Skills & Experience

We are looking for someone with experience in one or more of:

  • Community management, content marketing, or lifecycle/activation marketing.
  • Membership or subscription businesses.
  • Email/CRM campaign creation and performance tracking.

You will also need:

  • Confidence owning a weekly dashboard: reading the numbers, saying what they mean, and proposing the next experiment.
  • Excellent written communication and a strong feel for tone of voice.
  • Comfort working across several content threads, campaigns and cohorts at once.
  • Comfort asking a happy member for a case study, a referral, or a conversation with our sales team.
  • Confidence to capture key moments from around our studio on camera.
  • The ability to work collaboratively with Customer Success, Marketing, Sales and Production.

Nice to Have

  • Experience with lifecycle marketing, onboarding flows or activation campaigns.
  • Experience within medical aesthetics, healthcare education or professional training.
  • Experience using email/marketing automation platforms.
  • Experience collecting testimonials or producing customer case studies.
  • Experience sourcing referrals or warm leads from an existing customer base.
